Privacy Policy
Last updated: 14 August 2026
This website is operated by Beppily Ltd, a company registered in England & Wales (company number 17367056), registered office Dene View, West Road, Prudhoe, NE42 6JB. In this policy, "we", "us" and "our" refer to Beppily Ltd.
We are the data controller for the personal data described below. This policy sets out what we collect through this website, why we hold it, how long we keep it, and what you can ask us to do with it. It is written to meet the UK GDPR and the Data Protection Act 2018.
1. How to contact us about your data
Email [email protected], call 07862 616354, or write to Beppily Ltd, Dene View, West Road, Prudhoe, NE42 6JB. Please put "data request" in the subject line so it reaches the right person quickly.
2. What personal data we collect
- Enquiry form: your name, your email address, any services you tick, and whatever you write in the message field.
- Email and telephone contact: your contact details and the content of the correspondence, including anything you send us about your project, your code or your systems.
- Server logs: our hosting provider records IP address, browser type, the pages requested and the time of the request, as part of running and securing the server.
- Local storage: your cookie choice is kept in your own browser. See our Cookie Policy.
We run no analytics, advertising or tracking on this website. We do not ask for special category data, and you should not send any through the form. If you send us access credentials or a database extract as part of a project, we treat that separately under the contract for that work.
3. Why we process it, and our lawful basis
| Purpose | Data | Lawful basis (Art. 6 UK GDPR) |
|---|---|---|
| Replying to your enquiry, arranging a call and preparing a written quotation | Name, email, services selected, message | Steps taken at your request before entering a contract (Art. 6(1)(b)) |
| Delivering work you have commissioned and invoicing it | Contact details, project correspondence | Performance of a contract (Art. 6(1)(b)) |
| Keeping accounting and tax records | Invoice and payment records | Legal obligation (Art. 6(1)(c)) — Companies Act and HMRC requirements |
| Keeping the website available and secure | Server logs | Legitimate interests (Art. 6(1)(f)) — running a safe website |
| Remembering your cookie choice | A single local-storage entry | Strictly necessary for a service you asked for (PECR) |
4. How long we keep it
- Enquiries that do not become work: 24 months from your last message, then deleted.
- Client records and project correspondence: for the life of the relationship and 6 years afterwards, so we can answer questions about software we wrote.
- Invoices and accounting records: 6 years after the end of the accounting period, as UK tax law requires.
- Server logs: held by our hosting provider on a short rolling window, typically no more than 90 days.
5. Who else sees your data
We do not sell your personal data, and we do not share it for anyone else's marketing. A small number of providers process data on our instructions:
- our website hosting provider, which stores the site and its server logs;
- our email provider, which carries and stores the correspondence between us;
- our accountant and accounting software, for invoicing and statutory records;
- where a project requires it, the client's own cloud provider — under the contract for that work, never for our own purposes.
The site loads a web font from Fontshare and animation code from the Cloudflare CDN. Both receive your IP address as part of serving the file; neither sets a cookie on this site. We will disclose data to a regulator, court or law-enforcement body where the law requires it.
6. Transfers outside the UK
Our hosting and email are provided within the UK or the EEA. The font and code files described above are delivered from a global content network, which may serve them from outside the UK. Where a provider transfers personal data outside the UK, it does so under UK adequacy regulations or the International Data Transfer Addendum to the standard contractual clauses.
7. Your rights
Under UK GDPR you have the right to:
- ask what personal data we hold about you and receive a copy (access);
- have inaccurate data corrected (rectification);
- ask us to delete data we no longer need (erasure);
- ask us to pause processing while a dispute is resolved (restriction);
- receive data you gave us in a portable format (portability);
- object to processing we carry out under legitimate interests.
Where processing relies on your consent, you can withdraw it at any time, and that will not affect anything done beforehand. Your cookie choice can be changed at any point using the method in our Cookie Policy.
8. How to exercise your rights
Email [email protected]. We will respond within one month of receiving your request. If it is complicated we may extend that by up to two further months, and will tell you why within the first month. There is no charge unless a request is manifestly unfounded or excessive.
9. Complaints
Please raise any concern with us first. You also have the right to complain to the Information Commissioner's Office, the UK supervisory authority for data protection: Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF, telephone 0303 123 1113, www.ico.org.uk.
10. Changes to this policy
If we change how we handle personal data we will update this page and the date at the top. This version was published on 14 August 2026.
